How to Create a Plumbing Invoice

Use the free plumbing invoice generator above, or create your own invoice using these steps. A clear plumbing invoice should show the service performed, labor, parts, applicable fees, and payment terms.

  1. 1. Add your business and license information. Include your business name, contact information, and applicable plumbing license number and type.
  2. 2. Add the customer and service address. Record who you are billing and where the work was performed. Include the billing address separately when it differs from the service location.
  3. 3. List the service-call fee separately. Show the trip or diagnostic fee as its own line so the customer can distinguish it from labor. If you credit the fee toward an approved repair, show the credit separately.
  4. 4. Choose and state your pricing method. Use flat-rate pricing for defined services or hourly pricing when the scope is uncertain. Clearly identify the applicable rate or service price.
  5. 5. Itemize parts and materials. List each part with its quantity and price rather than combining materials into a single lump-sum charge.
  6. 6. Add emergency charges and permits. If applicable, show after-hours or emergency premiums and permit fees as separate lines.
  7. 7. Add warranty and payment terms. Include applicable labor and parts warranty information, subtotal, taxes, amount due, due date, and accepted payment methods.

Types of Plumbing Invoices

A faucet replacement and a full repipe have different scopes and billing needs. The invoice template can be adapted to several common plumbing jobs:

  1. 1. Service/repair invoice: Service-call fee, labor, and parts, with the balance due after completion.
  2. 2. Water heater installation: Deposit, water heater, labor, applicable permit fees, and warranty information.
  3. 3. Emergency / after-hours invoice: Standard service charges plus clearly identified emergency or after-hours rates.
  4. 4. Drain & sewer invoice: Drain clearing, camera inspection, locating, and other applicable service charges.
  5. 5. Repipe / remodel invoice: Larger projects with labor, materials, permits, and milestone or progress billing where applicable.
  6. 6. Recurring/commercial invoice: Service agreements, recurring maintenance, and commercial payment terms such as Net 30.

Follow the pesticide-recordkeeping rules that apply to your business.
Use a consistent billing cycle and show the plan name, billing period, and recurring service rate on each invoice. If the initial treatment has a different price from ongoing maintenance visits, show those charges separately so the customer understands the difference.
