This Is Your Floor, Not Your Price

Most cleaning pricing goes wrong when owners account for labor and materials but leave out the costs that quietly erode the margin. Travel between stops, occasional rework, disposal fees, and card processing all affect what a job actually costs.

Try Arrivy Free

Knowing your estimated cost is only useful when you can compare it with what happens on real jobs. Arrivy helps you schedule and track jobs, giving you a clearer view of actual time and materials so you can compare real job performance with your assumptions.

How To Calculate Your Cleaning Service Cost

Use the calculator above, or run it yourself. Your true cost to deliver is more than labor and materials. It includes everything the job consumes, including costs that are easy to overlook.

  1. 1. Add labor costs. Calculate crew size × hours on site × fully burdened labor rate, including wages, taxes, workers' compensation, and benefits.
  2. 2. Add travel time. Include paid travel time between jobs at the applicable loaded labor rate.
  3. 3. Add materials and overhead. Account for supplies consumed on the job and the job's share of operating costs such as vehicles, insurance, software, and facilities.
  4. 4. Add the hidden costs. Include an allowance for rework and callbacks, disposal or dump fees, and card processing fees.
  5. 5. Read your total cost. This is the full cost the job consumes after all of those inputs are included.
  6. 6. Read your breakeven floor. Use it as the minimum price needed to cover your costs, then add your desired profit margin before quoting the customer.

What Goes Into The Cost

A service cost calculation typically includes:

1.

Loaded labor

Crew size × hours on site × fully burdened labor rate, including wages, taxes, workers' compensation, and benefits.

2.

Travel / windshield time

The paid drive time between jobs that you may not be able to bill directly.

3.

Materials & supplies

Cleaning products, consumables, and other materials the job uses.

4.

Overhead

The job's share of operating costs such as rent, vehicles, insurance, and software.

5.

Rework & callbacks

An allowance for jobs that require a return visit or corrective work.

6.

Disposal & payment fees

Dump or disposal charges and card processing fees associated with collecting payment.

Frequently Asked Questions

They're two steps of the same process. The Service Cost Calculator finds what a job actually costs you to deliver, which gives you your cost floor. The Service Pricing Calculator takes that cost and adds your target profit margin to determine what you should charge. Cost first, price second. If you don't know your true cost, your selling price is only a guess.
A service cost calculation typically includes labor, travel, materials, overhead, and any other costs directly associated with delivering the job. The exact costs will vary depending on your business and the services you provide.
Looking only at labor and materials may not reflect the full cost of delivering a job. Including overhead and other applicable costs provides a more complete estimate of your total service cost.
